Required for Listing on COLLECTAIRS
To ensure transparency, trust and a smooth auction process, every aircraft listed on COLLECTAIRS must be supported by complete and verifiable documentation. Please use the checklist below to prepare all required materials before submitting your aircraft.
Essential Ownership Documentation
Required documentation
Proof of Ownership
(e.g., Bill of Sale, purchase contract, certificate of registration)
Authorization to Sell
Required when a broker, dealer or representative submits on behalf of the owner.
Government Registration Certificate
Aircraft registration document from the relevant aviation authority (e.g., FAA, EASA, LBA, CAA, CASA, Transport Canada, etc.)
Airworthiness & Certification
Required documentation
Certificate of Airworthiness
Valid and current (or detailed explanation if expired/inactive)
Airworthiness Review Certificate (ARC) / annual inspection proof
For EASA aircraft, the latest ARC documentation is required.
Aircraft Flight Manual (AFM) or Pilot's Operating Handbook (POH)
Type Certificate Data Sheet (TCDS)
(if applicable or available)
AD / SB Compliance Reports
List of all complied and outstanding Airworthiness Directives and Service Bulletins.
Maintenance & Technical Records
Required documentation
Complete Logbooks
– Airframe logbook, – Engine logbook(s), – Propeller logbook(s), – APU logbook (if applicable)
Latest Annual / 100h / Progressive Inspection Report
Engine Time Since Overhaul (TSO) and Time Since New (TSN)
Propeller TSO & TSN
(for multi-prop or turbine aircraft, separate entries required)
Maintenance Release / CRS (Certificate of Release to Service)
Major Repairs & Modifications Documentation
Including STCs (Supplemental Type Certificates) where applicable.
Weight & Balance Documentation
Latest weight & balance sheets including equipment list.
Corrosion inspection history
(if applicable)
Avionics upgrade invoices & certifications
Operational & Condition Documentation

Recent high-resolution exterior and interior photos
(COLLECTAIRS produces its own high-end media, but seller-provided photos help during verification)
Recent video or engine run-up footage

Clear description of any past incidents or repairs.
Aircraft Utilization Summary
Typical use profile: training, private, commercial, display flying, aerobatics, etc.
Legal & Transactional Documentation

Written confirmation that the aircraft is free of financial encumbrances (or full disclosure if encumbered)
Export Certificate
(if required for international sales)
Insurance Documentation
Current policy overview (optional, but helpful during buyer evaluation)
