Every aircraft on CollectAirs needs complete papers that we can check. It keeps the auction clean and the sale quick. Use the list below to get everything together before you send us your aircraft.
Essential Ownership Documentation
Required documentation
Proof of Ownership
(e.g., Bill of Sale, purchase contract, certificate of registration)
Authorization to Sell
Needed if a broker, dealer or representative is selling for the owner.
Government Registration Certificate
The registration document from your aviation authority (FAA, EASA, LBA, CAA, CASA, Transport Canada and so on)
Airworthiness & Certification
Required documentation
Certificate of Airworthiness
Valid and current. If it has expired, tell us why
Airworthiness Review Certificate (ARC) / annual inspection proof
For EASA aircraft we need the latest ARC.
Aircraft Flight Manual (AFM) or Pilot's Operating Handbook (POH)
Type Certificate Data Sheet (TCDS)
(if applicable or available)
AD / SB Compliance Reports
A list of the Airworthiness Directives and Service Bulletins that are done, and the ones still open.
Maintenance & Technical Records
Required documentation
Complete Logbooks
– Airframe logbook, – Engine logbook(s), – Propeller logbook(s), – APU logbook (if applicable)
Latest Annual / 100h / Progressive Inspection Report
Engine Time Since Overhaul (TSO) and Time Since New (TSN)
Propeller TSO & TSN
(for multi-prop or turbine aircraft, separate entries required)
Maintenance Release / CRS (Certificate of Release to Service)
Major Repairs & Modifications Documentation
Include any STCs (Supplemental Type Certificates).
Weight & Balance Documentation
The latest weight and balance sheets, with the equipment list.
Corrosion inspection history
(if applicable)
Avionics upgrade invoices & certifications
Operational & Condition Documentation
Required documentation
Recent high-resolution exterior and interior photos
(we shoot our own photos and video, but yours help us during the checks)
Recent video or engine run-up footage
(optional but recommended)
Damage History Report
Tell us plainly about any past damage or repair.
Aircraft Utilization Summary
How the aircraft was used: training, private, commercial, display flying, aerobatics.
Legal & Transactional Documentation
Required documentation
Lien / Mortgage Clearance
Written confirmation that no loan or lien is attached to the aircraft. If there is one, tell us about it
Export Certificate
(if required for international sales)
Insurance Documentation
An overview of the current policy (optional, but buyers like to see it)
Last 3–5 years of maintenance invoices
(scanned)
Optional but Highly Recommended
Extra papers that make a listing more convincing
Performance test reports
(engine borescope, compression tests, oil analysis)
Restoration documentation
For vintage aircraft, warbirds and one-off collector aircraft.
Ferry Permit availability
(for non-airworthy aircraft)
Additional STC documentation
(avionics, engine conversions, canopy upgrades, tip tank installations, etc.)
